Produce a monthly report

Who this is for: anyone asked for last month's figures: a ministry official, a customs administration's statistics unit, a REC secretariat.

What you will achieve: a set of files you can hand over, and a covering note that says exactly whose data they are and where each figure came from.

Before you start: you need a role that reads reports. See What each role can do. Allow about 20 minutes; the report pages are slow to fill.

1. Work out which question you are answering

2. Set the period to last month

  1. Open Reports.
  2. Select the Period field and choose Last month.
  3. Check the caption under it names the month you want, and read the sentence You are reading …. That sentence is the scope of your report: write it down.

The period stays as you move between the area tabs, so you only set it once.

3. Read each area and note the headline figures

For each area your question needs:

  1. Open its tab and wait until no tile is grey.
  2. Note the four headline figures.
  3. For any tile you will quote, open its ⋮ menu and select View as table to read the exact values. Large numbers on tiles are rounded (8.8M).
Cross-check before you quote

The same quantity can read differently on two screens. Discharged declarations, for example, read 330 on Transit volumes and 320 on Register for the same month. Quote each figure with the screen it came from, and for anything about individual declarations, prefer Register. See Reports.

4. Export the rows behind the figures

  1. On a tile you want in the file, open the ⋮ menu and select Open full report. It opens on the same month.
  2. Select Export, choose Excel, and check the number of rows it says it will export.
  3. Select Export as Excel. The file is named after the report.
  4. Repeat for each report you need. Useful ones for a monthly pack: Period summary, Corridor volumes, Time at the border, Overdue transits and Rejections. See All reports.
A report is a question, not a file

Anyone who opens the same report sees it at their own scope. If you send a link rather than a file, a colleague at a State Party sees their country's rows, not yours.

5. Write the covering note

Send the numbers with their scope and their source attached. For example:

Attached: ITS figures for August 2026, reading every member state, taken from the ITS portal on 3 September. Declarations lodged: 413 (Transit volumes). Overdue at the time of writing: 114 (Register, a figure for today, not for August). Declared value is the sum of the values as declared, in several currencies.

The last sentence matters: Declared value adds up values in different currencies, and Modal share currently says "Not stated" for everything. Do not present either as a measured fact.

Check your Transit volumes and Time & delays figures against Register before you send them. On the current version they can include countries your REC does not administer. See Compare your members as a REC.
